A Smarter Way to Serve: Transforming Michigan’s Mental Health Through Cloud ERP

The Challenge

Before working with The TM Group, the organization relied on Microsoft Dynamics GP, which was approaching end of life. Maintaining an on-premises ERP system created ongoing costs and limited staff accessibility. Remote work required complex remote desktop connections, and the lack of a built-in purchase requisition process restricted internal purchasing controls. The organization realized that a modern, cloud-based ERP system would better support its long-term goals.

Their legacy system also limited their ability to expand functionality or take advantage of modern technology. They wanted a platform that could connect seamlessly with Microsoft 365 and Microsoft’s Power Platform to extend capabilities through applications like Power Automate and Power BI. In addition, they were eager to adopt emerging tools such as AI and Copilot to improve efficiency, data visibility, and user productivity—features that were not available in their legacy system. They also wanted a more modern and tighter integration with their electronic medical record system (PCE) to reduce manual processes and improve data flow across systems.

 

The Solution

The TM Group implemented Microsoft Dynamics 365 Business Central as the organization’s new cloud-based ERP solution, enhanced with Tangicloud Fundamentals for Nonprofits and Government. Moving to Business Central eliminated the need for local servers, improved security, and provided anytime, anywhere, access through a web browser. Tangicloud added purchase requisition capabilities and offered a path to future functionality such as fund accounting and inter-fund transactions.

TMG also delivered a Power Automate-based integration between Business Central and PCE using its proprietary TMG SmartTools PCE Integration for CMH. This replaced an older third-party connector and provided a modern, efficient way to synchronize data between systems. Core Business Central modules implemented included General Ledger, Accounts Payable, Bank Reconciliation, Accounts Receivable, and Fixed Assets. The organization now also benefits from AI-driven insights and Copilot features in Business Central, which allow users to query financial data in natural language.

 

The Impact

The transition to Business Central gave the community mental health organization a modern ERP platform that supports remote access, automates purchasing workflows, and reduces IT maintenance. The project was part of a group of three community mental health implementations conducted simultaneously by The TM Group. This coordinated approach allowed the clients to share training sessions, reuse data migration templates, and accelerate their implementation timeframes. The organization’s internal team and CPA firm played an important role by preparing data and documentation in advance, which made the project go faster and more efficiently.
