The Client

A leading medical device distributor faced the challenge of modernizing its management systems to streamline operations across departments. Serving a national group of hospitals, they required a scalable, integrated platform to improve efficiency within their sales and marketing teams.

The Challenge

With expanding operations and an increasingly complex set of tasks, the distributor needed to automate workflows and integrate processes across the enterprise. Their existing systems relied heavily on manual input and siloed systems, causing inefficiencies and delays, particularly in tasks requiring cross-departmental cooperation. They needed a flexible, phased solution that could adapt to the growing demands of their business.

The Solution

The TM Group (TMG) proposed implementing Microsoft Dynamics 365 for Sales with Customer Insights, first establishing foundational functions and then incorporating additional features for streamlined automation and workflow management. The structured approach allowed the distributor to adopt core functionalities in stages:

Sales Foundation

TMG began by implementing the core Sales  capabilities and adding the Customer Insights module, which included essential features for their sales, marketing, and operational teams. This initial setup established a reliable, integrated base for all primary business operations.

Workflow Automation with Power Automate

Once the foundation was in place, Power Automate was introduced to streamline approval processes, replacing manual, multi-step workflows with automated, efficient processes for stakeholder approvals across various departments.

Document Management and Sales Coordination

SharePoint document management features within Microsoft Dynamics 365 for Sales were utilized to centralize file sharing and enhance coordination between the sales and marketing teams. This allowed for better tracking of client interactions, streamlined communications, and improved document handling.

Additional Features

As the business scales, further Sales and Customer Insights features, such as event management and reporting tools, are set to be introduced in subsequent phases, ensuring the system continues to support expanding operations without disruption.

The Results

The phased implementation of Dynamics 365 for Sales provided the distributor with immediate improvements, including:

Enhanced Management: Streamlined processes enabled real-time tracking, reduced discrepancies, and faster fulfillment.

Automated Approval Processes: Time-intensive approval processes were transformed into automated workflows with Power Automate, cutting down on delays and reducing manual oversight.

Centralized Document Access: Sales Enterprise’s document management enabled efficient file sharing, reducing the need for multiple storage systems and ensuring all departments had access to the latest information.

Sales Efficiency: The CRM features in the Sales empowered the sales team with better customer insights and faster response times.

Unified System Benefits: By operating within one integrated solution, the distributor can now share information seamlessly across the organization. While departments can still function as separate silos, the unified system ensures data is easily accessible and useful throughout the company, eliminating inefficiencies associated with managing multiple disconnected solutions.

Moving Forward

TMG’s phased approach lays a strong foundation for the distributor’s future growth. This implementation is just the beginning—other areas of the business can be integrated into the CRM platform over time to address additional needs.

The next phase involves the implementation of Microsoft Dynamics 365 Business Central, document management, and warehouse management. Once integrated with the CRM, this will create a single source of truth for the entire organization, eliminating the need to manage data across multiple systems, such as Microsoft Dynamics GP and various homegrown solutions.

By consolidating systems into one unified platform, the distributor is positioned for long-term success with enhanced efficiency, accuracy, and scalability.
