In today’s rapidly evolving healthcare landscape, community health organizations must continuously refine their processes to improve operations and enhance service delivery. Recently, The TM Group (TMG) partnered with a community health organization facing significant challenges in financial reporting, operational workflows, journal batch management, and user proficiency with new systems. Our goal was to provide a tailored solution that not only streamlined processes but also empowered the team through comprehensive training and expertise.
 
 

The Challenge

The client organization, which operates both as a community mental health authority and a prepaid inpatient health plan (PIHP) under Michigan’s Medicaid program, encountered unique operational challenges. These included difficulties with managing credit memo processes, reconciling journal batches, and improving financial reporting. Additionally, there was a need to enhance operational efficiency, reduce redundancy, and ensure that employees were properly trained to make the most of the new system’s capabilities. Meeting stringent compliance standards specific to the Medicaid-funded healthcare sector further complicated these issues.
 
They had previously been a Dynamics GP client with The TM Group. When they decided to move to a cloud-based accounting solution, they were required—being a governmental organization—to issue a Request for Proposal (RFP). We submitted our response alongside other firms, but they ultimately selected a different Microsoft partner, primarily due to cost considerations, as our bid was higher.
 
However, after working with the other partner, the client experienced significant issues. The implementation was incomplete, and the system was not functioning as expected. Frustrated by the results, they reached out to The TM Group to assess the situation and help get their Dynamics 365 Business Central environment back on track. They asked us to evaluate the system’s setup, ensure it aligned with best practices, and address several unresolved concerns.
 
 

The Solution

 
Leveraging The TM Group’s deep expertise in community mental health organizations and PIHPs, we developed a tailored solution plan to address these challenges. One of the first priorities was resolving issues with credit memo management. Drawing on our extensive experience with integration with their PCE system, we streamlined these processes, ensuring both accuracy and ease of use. Next, TMG focused on improving journal batch management. A thorough review and redesign of the workflows helped them enhance the reconciliation process, reducing delays and errors. This overhaul allowed for faster and more accurate financial operations. Financial reporting was another critical area of focus. By implementing Solver, a robust financial reporting tool, we enabled the organization to access deeper insights and make data-driven decisions.
 
Further, the implementation of Tangicloud Fund Accounting was a major win for the organization. It replaced a couple of tools they had initially implemented but found lacking, particularly when it came to extracting the fund-specific information they needed. These gaps created inefficiencies and a sense of “clunkiness” in their environment, especially when performing fund tracking transactions. We introduced them to Tangicloud’s fund accounting solution, which brought much-needed structure to their financial processes. With the new system in place, they were able to implement business rules, enforce proper approval workflows, and streamline their overall fund accounting process—ultimately gaining greater control and clarity over how funds were managed.
 
Training the client’s staff was also a key aspect of the solution. TMG provided tailored, hands-on training sessions to ensure that employees not only understood the new systems but felt confident in using them. Follow-up support and on-demand assistance ensured a smooth transition and ongoing support post-implementation.

Credit memo and journal batch processes were optimized, reducing the need for manual interventions and improving efficiency. The redesigned workflows eliminated bottlenecks, leading to faster, more accurate financial operations.
