The Client:

An airport concession company based in Southeast Michigan. The organization maintains approximately 50 casual dining restaurants spread across eight major American airports.

The Challenge:

The client connected with The TM Group intent on upgrading its existing version of Microsoft Dynamics GP and consolidating its data storage infrastructure. The business had been using an old iteration of the accounting software, which was running without support from the original installation partner. Additionally, its internal databases were in complete disarray. The client stored 45 separate caches, roughly one per restaurant, within an on-premise server that was near expiration. In fact, when members of The TM Group team visited the company in person for an initial consultation, they discovered that internal information technology staff had disassembled the problematic processing equipment and downed Dynamics GP. Together, these technical complications created data-related vulnerabilities and operational inefficiencies. For instance, accounting personnel had to log into each separate restaurant database to execute their day-to-day duties. 

This unfortunate state of affairs led the accounting stakeholder at the business to contact The TM Group. He had collaborated with the installation partner at his previous employer and knew the firm might have a solution to the client’s problems.

The Solution:

After an initial assessment, The TM Group formulated a proposal centered on the latest version of Dynamics GP. The package included the general ledger, accounts payable, accounts receivable and bank reconciliation modules. The TM Group team also recommended that the client leave behind its on-premises servers and transition to the cloud. The concessions business reviewed the proposal and chose to move forward with implementation. Following approval, IT infrastructure specialists for The TM Group went to work addressing the existing, non-functioning server. They reassembled the deconstructed hardware, made some structural improvements and got it running well and long enough to create usable backups. The team members then worked on consolidating the disparate databases within a cloud solution from Cloud Ingenuity. In the end, they were able to consolidate 32 of the databases and update five more, drastically cutting down the company’s storage footprint and facilitating simpler information management workflows based on a centralized chart of accounts with multiple location segments. With this stable and reliable information technology infrastructure in place, developers for The TM Group upgraded the client’s Dynamics GP installation. The project concluded with a financial reporting software swap. After leveraging its existing Microsoft’s FRx financial reporting solution over the two months immediately following go-live, the client moved over to the Management Reporter tool, which facilitates real-time fiscal information flow. 

The TM Group collaborated heavily with the company’s internal accounting stakeholder throughout the project, leveraging his organizational knowledge and considerable technical expertise to streamline implementation. 

The Outcome:

The solution was immensely successful, laying the foundation for more efficient and reliable accounting operations. On top of this, The TM Group managed to come in under budget. However, the relationship did not end following launch. The TM Group is currently engaged with the client and working to roll out a second set of products and services – most notably, automated transactional data entry functionality. At the moment, accounting personnel from the concessions company copy and paste the transaction details from printouts from each restaurant into the general ledger. During the second phase of this engagement, The TM Group intends to roll out a SmartConnect integration that pulls data directly from point-of-sale terminals into Dynamics GP, further improving the organization’s online accounting tools.

With this addition in the works, the client is poised to experience further efficiency gains and the bottom-line benefits that often follow.

The Solution

A reverse mortgage servicer streamlines payment processing via Dynamics GP

The Client

A reverse mortgage servicing company based in southwest Michigan.

The Challenge

The business’ vice president of financial systems contacted The TM Group, which she had partnered with at a previous organization, with the intention of accelerating and streamlining its nontraditional accounting workflows. The client had long used a Sage product to manage the high-volume payment collection and dispersal processes at the core of its operations. In this balance sheet-only approach, the organization received installments from borrowers and redistributed the money to the applicable loan holders, zeroing out its books. The client billed the mortgage originators for its processing services but left the income reporting up to its parent company. While Sage managed to support these functions, it did so at an incredibly slow pace. In fact, accounting personnel attested to waiting multiple business days for the platform to process payment data via the cloud. This mucked up operations, undermined growth and exposed the company to consistent contractual penalties linked to late repayment.

In addition to requesting an accounting platform that could handle high-volume workloads, the client needed technology that would integrate with its client-facing line-of-business application. With this need and the other requirements in mind, The TM Group went to work mapping out a potential solution.

The Solution

The consultants and developers at The TM Group ultimately put together a proposal centered on Microsoft Dynamics GP, which can be deployed within private company servers. The package included the GP general ledger, accounts payable and accounts receivable modules, along with two third-party components: Nolan Business Solutions Advanced Bank Reconciliation and Mekorma MICR SmartConnect. The client ultimately greenlit implementation, at which point The TM Group development team went to work. However, soon after the group began porting data and installing GP, it had to make significant adjustments to the application workflow pitched in the original proposal. This initial solution road-map included an analytical accounting feature that, when deployed during the opening stages of the project, bogged down the whole system. The TM Group ultimately adjusted and rolled out an alternative that facilitated fast data transfer speeds between the client’s LOB application and GP via SmartConnect.

Implementation unfolded smoothly following this roadblock, as developers for the software company easily swapped Sage for GP and moved the reverse mortgage servicing provider’s back-end processing workflows into dedicated organizational server space alongside the LOB module. 

The Outcome

The new GP installation has made an immense impact on the business, allowing it to handle between 30,000 and 40,000 borrower payments daily and redistribute these funds to several thousand loan holders. The solution has also set the client on the path to growth, facilitating the high-volume processing capabilities it needs to keep existing originators happy and take on additional clients. That said, the work does not stop here. The TM Group is currently working to roll out GP within the client’s parent company, a massive shift that will transform back-end operations across multiple entities.

A fleet vehicle service company moves forward with Microsoft Dynamics GP

The Client

A fleet vehicle service and repair company headquartered in Western Michigan. The organization has been serving commercial customers throughout Southwestern Michigan for more almost three decades and now maintains six separate business divisions. It offers both onsite and mobile fleet repair options.

 

The Challenge

The client contacted The TM Group with the intention of swapping its existing Quickbooks installation for an alternative accounting solution. The company was encountering significant scalability issues that were dragging on multiple backend business functions, most notably, payroll. Personnel working in the department were unable to store more than one year’s worth of employee information on the platform, necessitating annual purges that inhibited the collection and analysis of historical payroll data. This database capacity problem also forced the stakeholders managing this function to maintain two separate payrolls, causing additional dysfunction. Quickbooks was also creating issues for the accounting staff overseeing the general ledger. With virtually no access to automated reporting tools of any kind, these individuals had to cobble together monthly, quarterly and annual financial statements by exporting raw accounting data from Quickbooks and organizing it into an easy-to-read format via Excel. This created great inefficiency and increased the risk of accounting errors. Together, these issues hamstrung both the accounting department and the organization as a whole, preventing decision-makers from scaling up essential backend operations in preparation for growth.

 

While the client was unhappy with the Quickbooks installation, it remained committed to virtually all of its active line-of-business applications. This meant that any new solution would need to seamlessly integrate with these assets, a fairly significant technical challenge our developers and implementation experts would need to address during development and deployment.

 

The Solution

With these pain points front and center, The TM Group team put together a proposal centered on the Microsoft Dynamics GP platform and several of its core components, including the accounts receivable, accounts payable, bank reconciliation, payroll and direct deposit modules. The proposed solution package also featured the eOne Smart Connect integration tool, which The TM Group intended to use as a bridge between the business’ various line of business (LOB) applications and Microsoft Dynamics GP. Greenshades Software, a payroll tax filing and employee portal solution, rounded out the solution. The client reviewed the proposal and approved the implementation, at which point The TM Group staff went to work.

 

The LOB application integration was perhaps the most significant implementation hurdle our team faced, as each solution featured technical eccentricities. These tools included:

 

  • IFS Fleet and Asset Management: The client used this solution to manage its fleet of mobile repair vehicles, leveraging its maintenance program tracking, scheduling and forecasting components to ensure field work was executed as planned.
  • YES Management System: Personnel overseeing onsite repair operations took advantage of this software when building estimates, processing and assigning work orders, issuing invoices and managing replacement part inventories.
  • Time Guardian Pro: This system sat at the center of the company’s employee attendance management workflow, giving payroll stakeholders the power to facilitate time-keeping activities and gain an exhaustive, top-down view of scheduling patterns.

 

In all, these disparate products were of critical importance to the client, which meant that The TM Group team had to handle them with care during implementation and ensure they functioned flawlessly prior to go-live. To follow through on this requirement, our developers began using the eOne Smart Connect integration module to craft workable links between these applications and Microsoft Dynamics GP. However, complications arose in the form of a database switch: The client wanted to migrate the information associated with the YES Management System to a newly coded Mongo open-source database, a development that put a pause on virtually all integration activities. Even so, The TM Group team moved forward with and completed the base-level implementation of Microsoft Dynamics GP, with the intention of finishing up the remaining work during forthcoming project stages.

 

The Outcome

Today, The TM Group continues to collaborate with the client and are nearing the conclusion of the YES Management System integration. The Greenshades installation and IFS Fleet and Asset Management hook-up are the next items on the project agenda, along with the full integration of Time Guard Pro. Once active, this backend suite will give the organization the power to transform its accounting operations and lay the groundwork for significant growth. With Quickbooks out of the way and Microsoft Dynamics GP ready for use, internal accounts will be able to cultivate and store accurate historical transactions, while gaining access to the real-time tools they need to keep decision-makers in the loop regarding financial matters, big and small. Also, the seamless connections between the central accounting platform and the orbiting LOB applications will ensure that the business continues to achieve operational excellence.

 

This ongoing Microsoft Dynamics GP implementation offers potential adopters insight into just how powerful this accounting tool can be when installed properly and in accordance with foundational revenue-driving functionalities. Container company streamlines HR workflows with Microsoft Dynamics GP

The Client

A family-owned packaging service provider. Founded in the 1970’s, the organization maintains six separate entities distributed across four states within the midwestern United States.

The Challenge

The client had been using an outdated enterprise resource planning (ERP) system with a built-in payroll module. However, the payroll solution was not flexible enough to support changes in the state and local tax code. Illinois, in particular, had instituted numerous taxation changes, including new bylaws related to sick time. Unfortunately, the client’s ERP payroll module was not equipped to handle this new government requirement. On top of this setback, the vendor that supported this software had informed the client that its external support services would soon cease completely. This change meant the business had to move fast to find an alternative solution or risk navigating an already problematic payroll platform without any aid from the software reseller.

 

For a time, the firm considered outsourcing payroll operations entirely. In the end, the client chose to keep these processes in house and instead search for a more effective digital platform. This decision prompted the business to reach out to The TM Group for assistance.

The Solution

The TM Group suggested that the client implement Microsoft Dynamics GP, which includes robust human resources and payroll modules designed to evolve as regulations change. The client was able to roll out new payroll workflows through Microsoft Dynamics GP, which would automatically evolve tax law changes. Additionally, the Integrity Data retirement plan software enabled the organization to adopt a tiered 401k plan, an employee benefit that was all but impossible to implement with its earlier system.

The TM Group has continued to work with the client to clean up and optimize its new Microsoft Dynamics GP installation. In fact, the business intends to add accounts payable and other financial management functions in the near future. Time-clock integration is another future project. By the time these modifications are complete, the client will be positioned to serve employees and ensure their payment and benefits are delivered on time.

The Challenge

The client had been using an old on-premises version of Microsoft Dynamics SL and was considering upgrading to the cloud-based Microsoft Dynamics 365 Business Central solution in an effort to streamline and enrich its backend workflows without investing in new servers. Additionally, the organization’s relationship with its previous reseller had essentially disintegrated, leaving it without key support services and unwilling to invest more in an antiquated Dynamics SL solution. The authority was also interested in deploying fixed-asset services, something only possible in Dynamics SL environments through third-party integration. 

With these needs in mind, the client reached out to The TM Group for assistance.

The Solution

The TM Group proposed a streamlined solution centered on Dynamics 365’s Business Central offering for small and medium-sized organizations. Accounts payable, accounts receivable, bank reconciliation and general ledger modules forms the core of this platform. The TM Group also implemented fixed asset-management that allows the client to manage more than 500 separate field fixtures.

The Outcome

The resulting solution allowed the organization to simplify its workflows, resulting in immediate productivity gains. Additionally, the more feature rich functionality of Microsoft Dynamics 365 Business Central also provided more accurate reporting. However, the client does not intend to stop here. The TM Group is currently collaborating with the organization on the next phase of the project, which includes the introduction of new waste-billing processes and potential Power BI integration. Ultimately, the client wants to equip upper management with accessible insights they can use to formulate overarching business strategies and facilitate growth. The organization also wants to develop and deploy a series of line-of-business applications that could help further streamline accounting operations.

The Client
A single family office accounting department managing a real estate and investment firm based in western Michigan with eight legal entities. The organization maintains many investments across multiple sectors including dining, lodging, retail, commercial and a big-game hunting ranch and needed a more modern accounting solution.

The Challenge
The organization had been relying upon an antiquated iteration of Sage BusinessWorks that was installed on its business manager’s laptop. This meant that to run reports or look anything up, they would have to go to that one person and their laptop. This was further complicated by the fact that the bookkeeper only worked three days per week and was planning to retire soon. This upcoming transition drove the enterprise to search for an alternative solution that would not be installed on one individual’s computer and facilitate remote user access. The Solution
Their new accountant had used Microsoft Dynamics GP previously, so they wanted to look at both GP on-premise and Microsoft Dynamics 365 Business Central in the cloud. However, GP ended up being a lot more expensive because it required a new server, new desktops and setting up remote access for users. Business Central being cloud based didn’t require new hardware and offered remote access by default.

Consequently, The TM Group put together a proposal centered on the Microsoft Dynamics 365 Business Central accounting solution and its core financial management modules, which included the general ledger, accounts payable, accounts receivable, and bank reconciliation modules. Consolidated financial reporting across their multiple legal entities was also very important. The client additionally expressed interest in Dynamics 365 Business Central’s inventory control module, which it intended to use exclusively to manage supplies on one of its properties. Decision-makers for the business approved this strategy. Soon after, The TM Group went to work with their staff implementing Dynamics 365 Business Central.

The Outcome
Implementation was ultimately a success. The company made the switch to Dynamics 365 Business Central, immediately giving employees the power to access mission-critical financial tools remotely.
